This position is a vital part of Operations Facilities Team. The campus physical plant is an important asset that must be properly maintained. This person is responsible for a variety of essential services (landscaping, snow removal, roofs, flooring, painting, windows, etc.).
- Reporting to Senior Director of Facilities, responsible for the daily management of the HBS Building and Grounds. Works directly with trades and supervises vendors as assigned. Works closely with Manager of Physical Plant to coordinate all buildings and grounds issues. Works closely with and takes direction from Director of Facilities.
- Manages Facilities Coordinator and assigns requests and tasks as appropriate.
- Works closely with and collaborates with the Associate Director of Sustainability to integrate sustainability goals into buildings and grounds program.
- Oversees and assists in ensuring proper operation of all building exteriors on HBS Campus, including but are not limited to: painting, roofs, doors, railings, windows, brick, masonry, wood work, stairs, waterproofing, gutters, etc.
- Completes service requests as assigned through the Service Now system and offers direction and oversight of HBS trades staff on buildings and grounds related work orders.
- Responsible for delivery of a comprehensive landscape maintenance program. Identifies and implements program adhering to Harvard's Sustainable Landscaping Standards, meeting the goals of reducing water usage and increasing organic landscaping. Landscape includes but is not limited to: grass, plantings, trees, mulch, irrigation, pathways, roads, stripping, etc.
- Responsible for management and operation of Rainbird Maxicom irrigation system to meet campus aesthetics standards and University water reduction goals as well as campus tree inventory Arborscope database.
- Works with vendors to prepare and implement a snow removal program for all campus roads, pathways, steps, and high traffic areas. Ensures that walkways are kept in a safe and clean manner.
- Acts as project manager on landscape and building exterior capital projects as assigned and works to meet HBS project requirements including the Harvard Green Building Standards and the HBS Environmental Framework project goals for all capital projects.
- Responsible for underground storm water and sewer utilities maintenance, upkeep, surveys, and accurate as-built drawing. Works to meet the storm water runoff reduction and improved storm water quality goals.
- Manages campus carpet and flooring program for interior spaces (classrooms, offices, common areas, etc). Tracks and identifies areas that require upgrades.
- Manages interior and exterior painting maintenance program. Addresses annual and as needed painting needs.
- Performs project management responsibilities as assigned: prepares contracts, maintains project schedules, logistics planning, communications, creates and tracks project budget.
- Oversees and manages Facilities operating budget and approves related expenditures and invoices for payment.
- Represents the department with City of Boston (COB) on the inspection of buildings and systems. Manages annual COB inspection program for Inspectional Services, Fire Department and Licensing Board
- Represents Facilities on University committees and on all related capital projects which include landscaping, building envelope, structural issues, etc. to ensure projects are to HBS standard.
- Responsible for maintaining deferred maintenance records for all buildings. Works closely with contractor for inspection and reporting on campus deferred maintenance plan.
- Represents HBS on University wide committee for Facilities Condition Assessments (FCA) and responsible for submitting campus FCA report annually. Identifies opportunities for energy and water reduction from the FCA report.
- Manages and coordinates all Facilities responsibilities on high profile campus events including Commencement and Reunions, specifically tent operations.
- Must accommodate schedule demands including nights and weekends for special events, special projects, emergencies and snow removal, etc.
