LOCATION
This position will be based at Marriott Headquarters (Hybrid). The Talent Acquisition (TA) Coordinator provides administrative support and recruiting coordinator support to the Vice President, Global Executive Talent Acquisition and the Global Executive Talent Acquisition Team. This position has a dual focus: performing standard administrative duties to support the VP and the Executive TA operation and recruiting coordinator duties to support senior-level job openings managed by the Senior Director and Directors on the team.
Specifically, the TA Coordinator has responsibility for processing invoices, ordering supplies, organizing team meetings, preparing meeting materials, managing the VP's calendar and related administrative duties. In addition, for requisitions managed by the Senior Director and Directors, this position will support all activities involving the recruitment and selection of senior executive talent into Corporate or GM roles as well as other related projects and programs. The position has significant focus on the candidate experience, e.g., ensuring timely scheduling of candidate travel and interview logistics, delivery of appropriate interview materials as well as effective communication with all stakeholders. The TA Coordinator ensures detailed management of req/candidate data in mHUB in addition to accuracy in offer letters and requisition audits. As needed, this position provides support to the recruiters with maintaining accurate metrics, tracking Executive Talent Acquisition outcomes and developing reports or presentations.
EXPECTED CONTRIBUTIONS
CORE WORK ACTIVITIES:
Processes monthly department invoices, e.g., candidate travel card (Exec TA and PeopleScout), pre-hire checks (market and HQ), and other vendors on an ad hoc basis.
Liaises with Relocation, PeopleScout, Carlson Wagonlit, MBS and Bank of America, as needed, to ensure full monthly reconciliation of the department corporate candidate travel card.
Processes supervisor's expense reports, reimbursements for candidates' travel expenses, etc., as requested.
Partners effectively with other senior administrative assistants to address and resolve scheduling and logistics matters.
Consolidates data and other key information for monthly/quarterly Exec TA reporting as well as global GM reporting.
Manages supervisor's calendar, organizes meetings, prepares meeting materials and orders supplies for the team.
Actively manages requisition process in the Global Recruiting System (GRS/mHUB) by ensuring the requisition details are complete and ready to be made visible to candidates (i.e., sourced), posting the requisition to internal/external audiences, updating candidate status, etc.
Assists with targeted sourcing activities to communicate job opportunity to internal associates and external audiences (e.g., GMOPAs, LinkedIn, posting jobs on other relevant websites etc.).
Coordinates the interview scheduling and travel arrangements for multiple candidates under consideration against multiple HQ job openings. Schedules candidates for interviews with recruiters, hiring executives and stakeholder executives. Organizes all travel arrangements, including air/rail travel, lodging accommodations and car service, as needed.
Develops and distributes interview agendas for each candidate, travel itineraries (as needed) and candidate interview packets (as needed) to ensure a smooth and efficient candidate interview experience.
Organizes interview materials and distributes to interview team in a timely manner prior to interview (e.g., job description, interview agenda, candidate resume, interview guide, note taking form, interview feedback form).
Escorts candidates for HQ positions throughout their day of interviews and/or collaborates with other executive assistants to ensure the candidate is escorted to/from each interview and has a positive candidate experience.
Prepares offer letters for candidates, inclusive of proofreading prior to manager's review, finalizes letter following manager's edits and prepares offer packet for distribution to selected candidate.
Monitors status of pre-hire checks in GRS, following up with pre-hire check vendor, as needed, if there are questions or delays to ensure the final phases of the process are progressing.
Creates and maintains open requisition files, ensuring all required forms are in the file upon initiation of recruiting process.
Audits requisition file (e-version) and GRS requisition upon close of requisition. Utilizes audit checklist to ensure that all required forms are in the file, Notes to File are included as needed, and the GRS requisition contains all necessary data. Ensures the combined e-version and the GRS requisition files are accurate and complete, according to the requirements outlined on the checklist and in support of Marriott's expectations for compliance.
Drafts internal/external correspondence to candidates and hiring teams as needed.
Creates and/or updates process documents and forms in support of the Global Executive TA process.
Collaborates with other recruiting coordinators on ad hoc and long-term projects in support of Global Executive TA processes and improvements.
Actively problem solves to ensure timely hiring activity and efficient utilization of GRS.
Tracks offer acceptances and ensures accurate final documents are recorded, saved, and distributed to stakeholders.
Prepares letters for non-posted jobs for review by the VP and coordinates with HRPs to process and send out approved letters out to candidates.
Works with assessment vendor software to action and store assessment results for finalist candidates.

MANAGEMENT SKILL REQUIREMENTS:
Although this position will not manage others, the position requires the incumbent to be self-directed, highly organized, and productive, sensitive to others' needs and capable of working effectively in a fast-paced, multi-faceted work environment. The incumbent should be able to conceptualize and create non-routine documents and implement highly automated work processes and general administrative improvements. This position requires incumbent to exercise sound independent judgment when handling non-routine HR issues. Must be comfortable handling interruptions (via phone, in-person, etc.).
The ideal candidate will be interested in the mission to identify and recruit top talent for the organization, team and position, and to deliver an excellent talent acquisition experience for both candidates and hiring teams. The ability to make a positive difference and demonstrate tenacity and professionalism are essential.
As workload volume fluctuates on the team or to ensure full team coverage if colleagues are out of the office, the VP may assign the TA Coordinator to support other recruiters on active requisitions; the incumbent must have the ability to flex to support others, as needed. The position requires someone to have a high tolerance for last minute changes, and quick turnaround tasks. The ideal candidate will help to keep a proper perspective on what needs to be done efficiently and professionally without being flustered by changing priorities and demands of the job. KEY TALENTS AND EXPERIENCE
Background in Human Resources preferred but not required.
Comfortable working with systems and technology. Advanced knowledge and proficiency in Outlook, Word, Excel, and PowerPoint. Knowledge of GRS/mHUB, Peoplesoft and resume databases advantageous. Ability/desire to learn new software.
Experience and desire to work in a fast-paced environment with daily changes impacting the day's action items.
Demonstrates strong time management and project management skills.
Possesses exceptional organization skills and the ability to handle a multitude of assignments and details simultaneously.
Excellent written and verbal communication skills.

EDUCATION AND PROFESSIONAL CERTIFICATION
Minimum of 3 years of administrative experience required, ideally with experience supporting multiple managers. BA/BS degree in a related field is preferred.
